Jhotpot Chat ("Jhotpot Chat", "we", "us") is a service
operated by Jhotpot Chat
(registered address: Tropicana Tower, 12D (Lift 12), 45 Topkhana Road, Purana Paltan Mor, Dhaka), a
Bangladesh-based company. Jhotpot Chat helps online sellers connect their
Facebook Page, WhatsApp Business number, website chat widget, and
WooCommerce/Shopify store so an AI agent can reply to their customers,
quote catalog prices, check order status, take orders, and hand off to a
human agent when needed.
This policy explains how we collect, use, and protect personal data. It
applies to two different groups of people, and we want to be clear about
which section applies to you:
- Subscribers — the businesses (and their team members) who sign up for a Jhotpot Chat account. You are a data controller for your own account data and for your end-customers' data that flows through your connected channels.
- End-customers — people who message a subscriber's Facebook Page, WhatsApp number, or website chat widget. Your messages are processed by Jhotpot Chat on behalf of the business you're messaging, under their instructions. We act as a data processor for this data, not the controller — the business you contacted controls how your data is used, and you should also refer to that business's own privacy practices.
1. What we collect
1.1 From subscribers (account data)
- Account details: name, email, phone number, password (hashed, never stored in plain text), business name.
- Workspace/team data: team member emails, roles, invitations.
- Channel connection data: Facebook Page tokens, WhatsApp Business API tokens, WooCommerce/Shopify API keys — encrypted at rest (AES-256-GCM) before storage.
- Billing data: subscription plan, payment method metadata (we do not store full card/bKash credentials — these are handled directly by our payment processors).
- Usage data: AI replies used, login activity, support requests, audit logs of account actions (e.g. who connected a channel or changed a plan).
1.2 From end-customers (processed on behalf of subscribers)
- Message content sent to a connected Facebook Page, WhatsApp number, or website widget, including text, images, and voice notes where supported.
- Identifiers tied to the channel you're messaging from: Facebook PSID, WhatsApp phone number/wa_id, or a website visitor ID.
- Information you share in conversation or a pre-chat form: name, phone number, delivery address — typically needed to place or track a Cash-on-Delivery order.
- Order data synced from the subscriber's WooCommerce/Shopify store when relevant to your conversation (order status, order history).
2. Why we process this data

3. Who we share data with (sub-processors)
We do not sell personal data. We share data only with the service providers needed to run Jhotpot Chat, under contracts requiring them to protect it:
- Anthropic (Claude API) — processes message content to generate AI replies. Message text is sent to Anthropic's API for this purpose only.
- OpenAI — processes product catalog text to generate embeddings used for semantic product search (matching customer questions to the right product).
- Meta Platforms, Inc. — the Facebook Messenger and WhatsApp Business Platform through which messages are sent and received; Meta's own data policies also apply to that transport layer.
- Payment processors — bKash, SSLCommerz, and Stripe process subscription payments; we do not store full payment credentials.
- Hosting provider — our servers are hosted on a VPS located in Singapore.
We may also disclose data if required by law or to protect the rights, safety, or property of Jhotpot Chat, our subscribers, or the public.
4. Data retention
- Subscriber account and conversation data is retained for as long as the subscription is active.
- If a subscriber cancels or a workspace is deleted, associated data (conversations, customer records, catalog) is permanently deleted within 90 days, except where we must retain records longer to comply with law (e.g. tax/billing records).

5. Security
- Channel credentials (Facebook page tokens, WhatsApp tokens, WooCommerce/Shopify API keys) are encrypted at rest using AES-256-GCM.
- All data in transit is encrypted using TLS.
- Access to production data is restricted to authorized personnel on a need-to-know basis.
- We do not log raw message content in plaintext application logs.
6. Your rights
If you are a subscriber, you can access, correct, export, and delete your account data at any time from your dashboard settings, or by contacting us at jhotpotchat@gmail.com.
If you are an end-customer messaging one of our subscribers, please first contact that business directly, since they control how your data is used. You may also contact us at the email above and we will forward your request to the relevant subscriber, or act on it directly where required by law.
7. Children's data
Jhotpot Chat is intended for use by businesses and their adult customers. We do not knowingly collect data from children, and our service is not directed at children.
8. International data transfers
Our servers are located in Singapore, and some of our sub-processors (Anthropic, OpenAI, Meta, Stripe) operate internationally. By using Jhotpot Chat, you acknowledge your data may be processed outside Bangladesh, with appropriate contractual safeguards in place with each processor.
9. Changes to this policy
We may update this policy from time to time. Material changes will be notified to subscribers by email and/or a dashboard notice before they take effect.

- এন্ড-কাস্টমার — যারা কোনো সাবস্ক্রাইবারের Facebook Page, WhatsApp নম্বর, বা ওয়েবসাইট চ্যাট উইজেটে মেসেজ করেন। আপনার মেসেজ Jhotpot Chat প্রসেস করে সেই ব্যবসার পক্ষে, তাদের নির্দেশনায়। এই ডেটার ক্ষেত্রে আমরা ডেটা প্রসেসর — কন্ট্রোলার নই। যে ব্যবসাকে আপনি মেসেজ করেছেন সেটাই আপনার ডেটা কীভাবে ব্যবহৃত হবে তা নিয়ন্ত্রণ করে।
১. আমরা কী সংগ্রহ করি
১.১ সাবস্ক্রাইবারদের থেকে (অ্যাকাউন্ট ডেটা)
- অ্যাকাউন্ট তথ্য: নাম, ইমেইল, ফোন নম্বর, পাসওয়ার্ড (হ্যাশ করা থাকে, প্লেইন টেক্সটে কখনো সেভ হয় না), ব্যবসার নাম।
- ওয়ার্কস্পেস/টিম ডেটা: টিম মেম্বারদের ইমেইল, রোল, ইনভাইট।
- চ্যানেল কানেকশন ডেটা: Facebook Page টোকেন, WhatsApp Business API টোকেন, WooCommerce/Shopify API কী — সেভ করার আগে AES-256-GCM দিয়ে এনক্রিপ্ট করা হয়।
- বিলিং ডেটা: সাবস্ক্রিপশন প্ল্যান, পেমেন্ট মেথডের মেটাডেটা (পুরো কার্ড/bKash ক্রেডেনশিয়াল আমরা সেভ করি না — এগুলো সরাসরি আমাদের পেমেন্ট প্রসেসর হ্যান্ডেল করে)।
- ব্যবহারের ডেটা: কতগুলো AI রিপ্লাই ব্যবহার হয়েছে, লগইন অ্যাক্টিভিটি, সাপোর্ট রিকোয়েস্ট, অডিট লগ (যেমন — কে কোনো চ্যানেল কানেক্ট করলো বা প্ল্যান পরিবর্তন করলো)।
১.২ এন্ড-কাস্টমারদের থেকে (সাবস্ক্রাইবারের পক্ষে প্রসেস করা হয়)
- কানেক্টেড Facebook Page, WhatsApp নম্বর, বা ওয়েবসাইট উইজেটে পাঠানো মেসেজ কন্টেন্ট — টেক্সট, ছবি, এবং সাপোর্টেড হলে ভয়েস নোট।
- যে চ্যানেল থেকে মেসেজ করছেন তার সাথে যুক্ত আইডেন্টিফায়ার: Facebook PSID, WhatsApp ফোন নম্বর/wa_id, বা ওয়েবসাইট ভিজিটর আইডি।
- কথোপকথনে বা প্রি-চ্যাট ফর্মে আপনি যা শেয়ার করেন: নাম, ফোন নম্বর, ডেলিভারি ঠিকানা — সাধারণত Cash-on-Delivery অর্ডার নিতে বা ট্র্যাক করতে দরকার হয়।
- প্রাসঙ্গিক হলে সাবস্ক্রাইবারের WooCommerce/Shopify স্টোর থেকে সিঙ্ক করা অর্ডার ডেটা (অর্ডার স্ট্যাটাস, অর্ডার হিস্ট্রি)।
২. কেন আমরা এই ডেটা প্রসেস করি
- সাবস্ক্রাইবার অ্যাকাউন্ট চালানো (লগইন, বিলিং, সাপোর্ট)
- এন্ড-কাস্টমারদের বাংলা/বাংলিশ/ইংরেজিতে AI রিপ্লাই দেওয়া, ক্যাটালগ থেকে দাম বলা, অর্ডার চেক/তৈরি করা
- প্রয়োজনে কথোপকথন মানুষ এজেন্টের কাছে হ্যান্ডওভার করা
- জালিয়াতি প্রতিরোধ, অপব্যবহার শনাক্তকরণ, প্ল্যাটফর্ম সিকিউরিটি
- Meta Platform Terms এবং WhatsApp Business Platform-এর ডেটা ব্যবহার সংক্রান্ত শর্ত মেনে চলা
৩. আমরা কার সাথে ডেটা শেয়ার করি
আমরা ব্যক্তিগত ডেটা বিক্রি করি না। শুধুমাত্র সার্ভিস চালাতে প্রয়োজনীয় প্রোভাইডারদের সাথে শেয়ার করি:
- Anthropic (Claude API) — AI রিপ্লাই তৈরি করতে মেসেজ কন্টেন্ট প্রসেস করে।
- OpenAI — প্রোডাক্ট ক্যাটালগ সার্চের জন্য এমবেডিং তৈরি করতে ক্যাটালগ টেক্সট প্রসেস করে।
- Meta Platforms, Inc. — Facebook Messenger ও WhatsApp Business Platform, যার মাধ্যমে মেসেজ আসা-যাওয়া করে।
- পেমেন্ট প্রসেসর — bKash, SSLCommerz, এবং Stripe সাবস্ক্রিপশন পেমেন্ট প্রসেস করে।
- হোস্টিং প্রোভাইডার — আমাদের সার্ভার সিঙ্গাপুরে অবস্থিত একটি VPS-এ হোস্ট করা হয়।
৪. ডেটা রিটেনশন
সাবস্ক্রিপশন সক্রিয় থাকা পর্যন্ত ডেটা সংরক্ষিত থাকে। সাবস্ক্রাইবার বাতিল করলে বা ওয়ার্কস্পেস ডিলিট করলে, সংশ্লিষ্ট ডেটা ৯০ দিনের মধ্যে স্থায়ীভাবে মুছে ফেলা হয় (আইনি বাধ্যবাধকতা ছাড়া, যেমন ট্যাক্স/বিলিং রেকর্ড)। বিস্তারিত জানতে দেখুন আমাদের Data Deletion Instructions পেজ।
৫. সিকিউরিটি
- চ্যানেল ক্রেডেনশিয়াল AES-256-GCM দিয়ে এনক্রিপ্ট করে রাখা হয়।
- ট্রানজিটে থাকা সব ডেটা TLS দিয়ে এনক্রিপ্ট করা থাকে।
- প্রোডাকশন ডেটার অ্যাক্সেস শুধুমাত্র অনুমোদিত ব্যক্তিদের জন্য সীমিত।
- আমরা অ্যাপ্লিকেশন লগে প্লেইনটেক্সট মেসেজ কন্টেন্ট রাখি না।
৬. আপনার অধিকার
আপনি সাবস্ক্রাইবার হলে, ড্যাশবোর্ড সেটিংস থেকে যেকোনো সময় আপনার অ্যাকাউন্ট ডেটা অ্যাক্সেস, সংশোধন, এক্সপোর্ট ও ডিলিট করতে পারবেন, অথবা যোগাযোগ করুন jhotpotchat@gmail.com-এ।
আপনি এন্ড-কাস্টমার হলে, প্রথমে সরাসরি সেই ব্যবসার সাথে যোগাযোগ করুন। আপনি চাইলে উপরের ইমেইলেও যোগাযোগ করতে পারেন — আমরা প্রয়োজনে সংশ্লিষ্ট সাবস্ক্রাইবারের কাছে পৌঁছে দেব, অথবা আইন অনুযায়ী প্রয়োজনীয় ব্যবস্থা নেব।
৭. শিশুদের ডেটা
Jhotpot Chat ব্যবসা এবং তাদের প্রাপ্তবয়স্ক কাস্টমারদের জন্য তৈরি। আমরা জেনেশুনে শিশুদের থেকে ডেটা সংগ্রহ করি না।
৮. আন্তর্জাতিক ডেটা ট্রান্সফার
আমাদের সার্ভার সিঙ্গাপুরে অবস্থিত, এবং আমাদের কিছু প্রোভাইডার (Anthropic, OpenAI, Meta, Stripe) আন্তর্জাতিকভাবে কাজ করে। Jhotpot Chat ব্যবহার করে আপনি স্বীকার করছেন যে আপনার ডেটা বাংলাদেশের বাইরেও প্রসেস হতে পারে, যথাযথ চুক্তিভিত্তিক সুরক্ষাসহ।
৯. পলিসি পরিবর্তন
আমরা মাঝে মাঝে এই পলিসি আপডেট করতে পারি। উল্লেখযোগ্য পরিবর্তনের ক্ষেত্রে কার্যকর হওয়ার আগে ইমেইল এবং/অথবা ড্যাশবোর্ড নোটিশের মাধ্যমে সাবস্ক্রাইবারদের জানানো হবে।
